SUPPLEMENTARY  CLUB CONSTITUTION.

CODE OF CONDUCT.
AND GUIDANCE FOR MANAGERS.

NAME:

The club shall be called Rotherham Town Girls’ Supporters Club.

OBJECTIVES:

To encourage and facilitate the playing of football by as many girls as possible and to promote a spirit of competitive sportsmanship and friendship in all those concerned with the club.

SUBSCRIPTIONS: 

Subscriptions are to be paid by all registered players. The amount for the year is £100 to be paid in monthly instalments, the first £20 to be paid at the time of registration then £10 per month from September to April of the following year. This is to cover insurance, registration fees, costs incurred by the girls, i.e. Pitch fees,  Referees fees,   match fees etc.  If subscriptions are not paid for two consecutive months then the player will be suspended from playing until the subscriptions are up to date.
 
Non registered players will pay £1 per week for training.

From June to August, training will be free but match fees may possibly be charged (at an amount agreed by the Committee) for any home friendlies played during this time.  Fees will also be charged for tournaments.

MANAGEMENT OF THE CLUB
The Committee shall consist of 6 elected officials plus all Managers.
Any officer wishing to tender their resignation must do so in writing to the Secretary.  On acceptance of the Committee, their position shall become vacant.
Meetings will be held each month. If a Manager cannot attend then a representative of that team must. All parents/carers are welcome to attend the meetings but voting is restricted to the members of the Committee plus Managers (or their representative) by show of hands. In all cases of difficulty, the Chairman will have the casting vote.
If business arises which needs a decision before the next meeting, the Committee (or a quorum of 5 thereof) shall be able to make such a decision.
Minutes of every formal meeting shall be taken by the Secretary.
There will be an Agenda for every meeting and any items for discussion should be submitted to the Secretary one week prior to the meeting.
A Committee member may at any time call a special meeting by notifying the Secretary of the reasons for which the meeting is to be called. Seven days clear notice must be given to all members and no vote may be taken unless a quorum is present.

 

ANNUAL GENERAL MEETING
An annual general meeting will be held at the end of the season to give opportunity for parents/carers to meet with the Committee to discuss the activities of the Club, its financial position and future plans. The property and funds of the Club shall be under control of the Committee who will ensure that proper accounts of income, expenditure, assets and liabilities of the Club are maintained.

The Treasurer shall be responsible for the accounting records and shall submit an income and expenditure account for each meeting.
A full set of financial statements shall be submitted to the A.G.M. and if so approved shall be signed by the Chairman and Treasurer.
The accounts shall be audited annually by a person who is competent and approved by the Committee. The Auditor shall be someone completely independent of the club, but any club member shall be entitled to inspect the accounts after audit.
Any monies raised by anyone in connection with the club, should be paid into the club account and then processed through the club.

CODE OF CONDUCT:
Codes of conduct are in place for Managers, Players, Coaches and Spectators. We also have in place a complaints procedure.  These Codes of Conduct are on the Club website – www.rotherhamtowngirlsjfc.co.uk.

Each player will be provided with a kit and a track suit.  These remain the property of the club, but players must be responsible for them and replace them should they be lost or damaged, other than by fair wear and tear. They should be returned to the manager at the end of the season.
Kit and track suits can only be worn when representing the club.
Shin pads must be worn at all training sessions and in all matches.
Jewellery must not be worn so that it does not cause a danger to the player or to others.
The chewing of gum is forbidden during training and matches.
Smoking and the drinking of alcohol is forbidden whilst representing the club.
Swearing, arguing with the Referee, manager or trainer will not be tolerated at training, in matches or at tournaments.
Anyone not behaving according to the above rules could face a possible match ban, fine or even be asked to leave the club.
Any administration costs or fines incurred by the club as a result of a player/spectator/official breaking the above code shall be reimbursed by the individual concerned within 21 days.

DISCIPLINE & GRIEVANCE
Any complaints must be forwarded in writing to a member of the Committee before a meeting. The Committee will then endeavour to sort it out.
Spectator discipline: Any spectator cautioned/sent away from the pitch will be responsible for their own fines/administration charges.

Where the behaviour of any player, or the parent or guardian of a player, is such as to bring the club into disrepute, or where at any disciplinary hearing held by a league body, a player or parent/guardian is fined for misbehaviour, then subject to the considerations of the Committee, the registration of that player will be liable to cancellation.  

GUIDANCE FOR MANAGERS
Each manager is responsible for the following;
To ensure all registration cards, health forms and child protection forms are completed.
Team selection.  It is at the Manager’s discretion to play the best team to win.
Arrangement of fixtures and lifts for any girl needing one.
Appointment of referees where applicable.
Ensuring there is adequate first aid equipment at matches and at training. It is club policy that no pain killing spray or tablets should be administered to players by anyone other than a qualified First Aider.

The correct use of hired facilities. The changing areas must be left clean.
Ensuring match cards are filled in correctly.
Keeping a record of kit distribution, and collecting kits back in at the end of the season.
It is at the Manager’s discretion regarding the choosing of the squad for the games.
A list of squad details should be supplied to the Secretary and Treasurer.
The manager should be encouraged to appoint a parent representative to help him with some of these duties.
Training will not take place unless the manager or assistant manager, and a parent representative are present.
In view of the child protection act, managers or Committee members are not to arrange informal outings with the girls, unless another adult is present.
Written permission will be required from parents if lifts will be needed to training or to matches where there will only be one adult present in the car.
All results are to be given to the Treasurer, so they can be forwarded to the local press.
       
NEWSLETTER: any information, results or news is to be given to the Treasurer, to be included in the monthly newsletter.
EXPENSES: any claims for out of pocket expenses, should be submitted with receipts at the monthly meetings, to be reviewed and decided upon by the Committee.
CHILD PROTECTION: we have in place a child protection policy.
FUND RAISING: any fund raising events will be organised by the Committee. Any ideas or offers of help from parents/carers will be most welcome.

CESSATION OF THE CLUB

If, for any reason, the Club should cease its existence, then all monies remaining will be donated to Charity.
